Senior Epic Analyst – Patient Access (Welcome and Hello World)
The Senior Epic Analyst – Patient Access is responsible for providing intricate tactical and operational support for the implementation of Enterprise Clinical IT systems. Assists and facilitates the design, implementation, optimization, change management and issue resolution related to the enterprise system and the clinical and business workflows it supports. Requires experience working with enterprise systems such as the Epic platform as well as the applicable clinical and/or business workflows.
We are seeking an Epic Welcome & Hello World Appointment Reminders Analyst to support and optimize front‑end patient access workflows and patient communications. This role focuses on delivering a smooth digital and in‑person check‑in experience while ensuring timely, reliable, and patient‑friendly appointment reminders and notifications. The analyst will work closely with operational, clinical, revenue cycle, and digital engagement teams to improve patient arrival, reduce no‑shows, and enhance overall patient satisfaction throughout their healthcare journey.
Essential Job Duties
- Configures, supports, and optimizes Epic Welcome workflows, including check‑in, arrival, and front desk processes
- Collaborates with the IT Hardware team to deploy, configure, and support self‑service check‑in kiosks, tablets/iPads, mobile check‑in devices, signature pads, printers, and payment peripherals
- Builds, manages, and maintains Hello World appointment reminders and notifications (SMS, voice, email, MyChart) as well as third-party vendor integration
- Designs and tests reminder rules, message timing, escalation logic, and preferences
- Partners with Patient Access, Scheduling, and Operations teams to align workflows with business needs
- Analyzes reminder effectiveness (delivery, confirmation rates, no‑shows) and recommends data‑driven improvements
- Develops and maintains reports and dashboards to track patient engagement and operational performance
- Collaborates with third‑party vendors supporting kiosks, digital check‑in, texting platforms, or communication services
- Supports Epic upgrades, enhancements, integrated testing, and issue resolution
- Creates and maintains system documentation, training materials, and support workflows
- Participates in go‑lives, optimization initiatives, and ongoing production support
- Ensures compliance with organizational standards, Epic best practices, and regulatory requirements (e.g., consent, messaging rules, software versions)
- Supports the relevant departmental environment including all applications and operational interfaces. Performs intermediate problem analysis and troubleshooting, and maintains appropriate documentation. Escalates complex issues to the appropriate group in a timely manner.
- Provides intermediate programming and/or analytical support for the relevant departmental system, subsystems, and related software products, in support of clinical and operational clients. Updates and maintains project plans, provide design and installation/support documentation. Creates or modifies change management procedures per departmental standards as necessary.
- Designs, configures and installs new programs, modifications or enhancements to existing systems. Analyzes modifications or enhancements to determine impact on existing production systems.
- Develops test plans, test data and testing schedules. Conducts unit and system tests to verify results of software solutions. Participates in functional and integrated testing of all software upgrades, enhancements, service packs and hotfixes as assigned.
- Performs analysis of business and user needs, documenting requirements, and revising existing system logic as necessary. Trains end users in use of equipment and software.
- Works in multiple phases of systems and applications analysis, and considers the business implications of the application of technology to the current business environment.
- Provides support during non-working hours to ensure the operation of production systems in a 24 x 7 environment.
- Researches, plans, and designs interfaces between a wide variety of systems to support clinical and business needs of the Hospital and Physician Organizations. Develops, tests, documents, and implements changes and enhancements to existing interfaces, support scripts, or other changes to the interface engine environment.
- Provides business related and technical design guidance to other IS staff in the development and support of other IS systems. Provide technical assistance to other staff members. If Clinical oversees the technical design implementation, analysis, and modifications of new/existing, programs and systems to support the clinical, corporate and technical operations across all facilities.
- Creates and maintains accurate and current documentation regarding application(s) supported by the team. Participates in the maintenance of training materials and disseminates materials to users. Reviews documentation and training materials prepared by fellow Analysts.
- Assists with go-live and support schedules as well as the coordination of field support activities and provides go-live and rollout support on new applications, modules, and functionality.
- Maintain a favorable work environment for all team members and clients.
- Responsible for IS change control standards and procedures including successful release and communication of go lives.
- Provides status reports and insights to departmental leadership in ad-hoc and weekly meetings.
- Represents the department team in user meetings and perform project management duties as needed. Work with other departments to understand their needs.
- Performs other job related duties as assigned.
Preferred Criteria
- Degree or major in Computer Science
- Strong analytical and problem‑solving skills
- Epic Cadence, Prelude, Welcome or Hello World Certification
- Experience supporting Epic Patient Access, Front Desk, or Registration workflows
- Experience with Epic reporting tools (Reporting Workbench, SlicerDicer, Clarity, or Caboodle preferred)
- Experience working with and coordinating third‑party vendors and integrated systems
- Healthcare operations or IT application support experience preferred
- Experience with workflow analysis, system configuration, and testing
- Ability to communicate effectively with both technical and non‑technical stakeholders
- ITIL Certification
- PMP Certification
- NYS Clinical licensure (Medical, Nursing, Pharmacy, or other relevant allied health professional)
Required Criteria
- Bachelor’s Degree or equivalent experience
- Epic Module Certification obtained within six months of employment
- Five to seven or more years of previous work related experience
