Leasing Operations Specialist

Reports to the Director, Residential Leasing and is responsible for leasing of Residential apartments at the Columbia University Irving Medical Center . Responsible for supporting and adhering to all Royal Charter Properties’ policies and procedures and providing excellent customer service. Coordinates the annual Medical Resident turnover. Obtains departure dates from terminating staff after the “match”. Prepares correspondence to incoming residents. Assigns apartments to incoming staff to meet their orientation date. Arranges temporary housing and moving/storage for members who cannot be housed by orientation date. Assigns house staff to appropriate accommodations according to orientation date, policy and procedures. Reviews and prepares housing lottery, applications, leases, lease renewals, Ready for Occupancy (RFO) reports, accepts and is responsible for security deposits and releases. Provides feedback on rental structure based on day-to-day interaction with residents and the marketplace.
Maintains waiting list which includes unit size preference, price point and tentative date of move in. Provides feedback to Director and third-party property manager regarding any issues that they may encounter while showing prospective residents’ vacant apartments (i.e. visible maintenance and cleanliness issues etc.). Assists Director of Leasing with Apartment Inventory Status Report. Interacts with Director and third-party property manager regarding arrears, legal issues, and employment verification regarding current residents. Interviews, corresponds and answers all inquiries from eligible personnel seeking Hospital housing via walk -in traffic to the office as well as phone and email inquiries. Assigns all eligible personnel to Hospital housing. Prepares housing assignments, prepares license agreements, arranges payment format (i.e., payroll deductions or checks), and executes such agreement with tenant. Verifies qualifying income requirements on all eligible housing applicants. Shows apartments to prospective Hospital affiliates. Assists Director of Leasing with marketing strategy, communications, and materials. Maintains all pertinent apartment and tenant records (i.e. license agreements, correspondence including advanced notification to tenants on all license renewals, arrear balances and payment receipt.)

This is a full time position NewYork-Presbyterian / Weill Cornell Medical Center.

Required Criteria

  • Five plus years of previous work related experience
  • Proficient in Excel, Word and Power Point, experience in database management systems.
  • Efficient in basic Accounting – Ability to review and interpret Management Statement tenant ledger, distinguish between charges, credit, and payments.
  • Ability to reconcile tenant rent against the ADP payroll deduction report.
  • Strong people skills, pleasant personality, and ability to deal with people under stressful situations; ability to conduct apartment tours for prospective tenants.
  • Willing to become familiarized with Real Estate tenants, staff, Hospital properties, departments, and key personnel.
  • Good verbal and written communication skills.

Please note that all roles require on-site presence (variable by role). Therefore, all employees should live within a commutable distance to NYP.

Salary Range:

$65,000-$89,000/Annual
