Lead System Educational Partner Information Technology EHR
Position Summary
The Lead System Educational Partner serves as an embedded learning and performance consultant to assigned clinical and administrative operational areas. Combining deep application expertise with an analytical, consultative lens, this role partners with operations to diagnose workflow bottlenecks and adoption gaps — through onsite observation, remote observation, anecdotal feedback, and analysis of reports and dashboards — and translates those findings into targeted learning and performance-support solutions.
Beyond classroom facilitation, the Lead System Educational Partner drives the end-to-end design, delivery, evaluation, and continuous improvement of training programs for assigned applications. As the senior individual contributor on the team, this role sets the standard for instructional quality, mentors fellow System Educational Partners and Senior System Educational Partners, and provides working direction on project deliverables without carrying direct-report management responsibilities.
This role fosters enduring client relationships built on accountability, reliability, and precision — partnering with operations to support the ongoing transformation of their assigned organizational units through bespoke learning solutions that measurably improve performance, adoption, and the end-user experience.
Essential Job Duties
Performance Analysis & Operational Consultation
- Partners with assigned operational areas to assess end-user performance, adoption, and workflow execution through a combination of onsite observation, remote observation, anecdotal feedback from staff and leaders, and analysis of available reports and dashboards.
- Translates observed workflow issues, adoption gaps, and operational bottlenecks into clearly defined learning and performance-support opportunities, distinguishing between issues best addressed through training and those requiring escalation to application, workflow, or operational owners.
- Monitors end-user adoption of assigned applications, identifies deviations from best practices and standard workflows, and develops remediation approaches in partnership with operational leadership.
- Proactively surfaces workflow, application, and environment issues to the clinical IT team, and participates in the enterprise change management process for system changes and the training materials associated with them.
- Serves as a dedicated subject matter expert and liaison to training participants and departmental leadership, capturing questions, obtaining clarification from curriculum designers or other SMEs, and closing the loop with stakeholders.
Instructional Design & Curriculum Development
- Leads curriculum design for assigned applications, including synchronous and asynchronous learning, pre- and post-course assessments, performance support materials, and blended learning pathways.
- Applies adult learning principles and blended learning methodologies across all training initiatives to ensure durable transfer of knowledge to the point of care or the point of work.
- Designs and builds reusable training scenarios and activities within training environments, ensuring alignment with real-world end-user workflows.
- Develops, maintains, and governs learning guidelines, high-level and detailed procedural documentation, templates, and instructor and learner assessments.
- Leads pilot training sessions with operational partners to validate that learning objectives are met before broad deployment, and iterates based on pilot findings.
- Identifies emerging technologies and instructional approaches that enable faster adoption, higher retention, and improved end-user satisfaction.
Training Delivery & Facilitation
- Leads classroom training for end users in assigned application(s), leveraging and continuously refining existing curricula.
- Facilitates lab-based educational sessions, including practice, personalization, and simulation labs, as well as at-the-elbow support and eLearning delivery.
- Conveys information in a clear, compelling, and audience-appropriate way across classroom, webinar, eLearning, and at-the-elbow modalities.
- Leads, reinforces, and validates standard workflows and best practices within assigned programs.
- Articulates the value of the platform to stakeholders across multiple levels of the organization, always prioritizing patient care and safety.
Program Management & Training Environment Stewardship
- Manages the development, coordination, quality assurance, delivery, and follow-up of training programs for assigned applications, including curriculum, delivery method, training space, and session scheduling.
- Evaluates training environments and curricula on a regular cadence, and documents environment, technology, and content issues in designated trackers, communicating resolution progress to the educational partner team.
- Partners with technical teams on the setup and maintenance of training environments (hardware and software), and applies an understanding of the systems development life cycle to training environment strategy.
- Maintains accurate records in the learning management system, including final assessment scores and attendance, and analyzes participant data to identify additional program needs, sessions to schedule, or areas of organizational vulnerability.
- Assesses and reports challenges in program delivery or audience comprehension and proposes solutions to improve curriculum, participant experience, and program efficacy.
Team Leadership & Mentorship (Individual Contributor)
- Provides working direction to System Educational Partners and Senior System Educational Partners on assigned projects and deliverables, clarifying task ownership and monitoring progress.
- Escalates risks, resource constraints, and deadline concerns to the Learning Program Manager in a timely manner.
- Mentors fellow educational partners on training delivery techniques, application knowledge, and instructional design principles, and assists in onboarding new trainers.
- Provides input into the performance evaluations of System Educational Partners and Senior System Educational Partners.
- Assists the Learning Program Manager and/or Director with resource assignment and load balancing across training activities and projects.
Stakeholder Engagement & Collaboration
- Builds trust and maintains strong working relationships with client stakeholders across clinical, ancillary, access, and revenue cycle operations.
- Collaborates with the clinical IT team and departmental stakeholders across the enterprise, and attends application team meetings to represent the system education function and convey workflow, build, and implementation implications for end users.
- Facilitates regularly scheduled workshops and meetings with system experts to keep them current on system design and workflow changes.
- Coordinates with other learning and onboarding teams to align training efforts across the enterprise.
- Provides support and encouragement to departments undergoing change.
Governance, Compliance & Confidentiality
- Partners with end users to ensure Hospital and Physician Organization policies and procedures are reinforced in all training content.
- Ensures the ongoing incorporation of applicable rules, regulations, and guidelines into the design of clinical, ancillary, access, and revenue cycle training programs.
- Preserves the highest level of confidentiality with respect to protected health information, and understands and articulates the institution’s HIPAA privacy policy and associated procedures.
- Maintains a favorable work environment for all team members and clients.
- Performs other job-related duties as assigned.
Required Qualification
- Bachelor's Degree or equivalent experience
- Epic Module Certification in job-related module(s), obtained within 6 months of hire and renewed on the quadrennial cycle
- Work Experience
- 4+ years of work-related experience in systems training or informatics
- Instructional design and delivery experience
- Experience with online learning tools
- Demonstrated oral and written communication and instructional skills
- Advanced knowledge in one or more of the following domains: clinical, ancillary, access, or billing applications
- Demonstrated ability to develop and deliver various types of instructional materials, including synchronous learning, pre- and post-course assessments, and performance support literature
