Coordinator - Facilities Operations - White Plains, NY

Under the guidance of the Facilities Director, responsible for the daily operations of the Engineering & Facilities office including responding to the timekeeping/payroll needs of employees as well as provision of support, accounting support, maintenance of Facilities supplies and distribution of work orders and PM’s through the TMS work order system. Maintains departmental files and records in accordance with Hospital and Departmental policy for all employees. Ensures that employees are within Hospital policy and advises necessary staff of any violations of policy and appropriate action to be taken. May make decisions on minor matters as appropriate. Provides support to multiple departments on various matters of policy. Oversees process for Labor and Material reports. Compiles data from various sources and prepares Westchester Ave campus Labor and Material monthly /yearly reports and submits directly to Finance. Prepares necessary monthly capital salary recovery file for subsequent submission to Finance for each monthly close. Works with departments to compile data and prepares reports for monthly Employee Accident/Incidence Report. Assists and maintains records as required for Joint Commission. Maintains current knowledge of field and learns use and applications of new programs as needed. Responsible for maintaining compliance on various Hospital requirements. Coordinates Annual Health Assessment, Hospital Training and Influenza Vaccination Program compliance within the division and ensures compliance is met in a timely manner. Attends and participates in weekly Engineering & Facilities Site Director staff meetings. Prepares biweekly payroll for OFO/OCE employees. This role will also manage calendars of the director and other senior facilities operations leaders, as well as coordinating meetings and confidential information.

This is a full-time day Monday - Friday position at NewYork Presbyterian, located at 1111 Westchester Avenue in White Plains.

Required Criteria:

  • Bachelor’s degree or equivalent experience
  • Five (5) years progressive experience in a health care facility or related business environment
  • Computer proficiency with knowledge of Windows-based computer applications

Please note that all roles require on-site presence (variable by role). Therefore, all employees should live within a commutable distance to NYP.

NYP will not reimburse for travel expenses.

$63,000-$91,000/Annual
